Graduate Staff Assistant (ASE) in the Department of Bioengineering

  • For a full-time UW graduate student (enrolled for 10+ credit hours per quarter)
  • Compensation includes salary, tuition waiver, and health insurance eligibility

The Department of Bioengineering is seeking a graduate student Staff Assistant (ASE) to assist in the daily operations of our front office.
Weekdays (Monday through Friday) 12:00 noon to 4:00 PM (20 hours per week).
Anticipated start date: October 1, 2021
General Duties/Description:
The Staff Assistant will serve as receptionist and provide support the Administrator and Facilities Manager and perform duties as follows:
  • Staff front desk in the W.H. Foege North Bioengineering Building. Answer telephone, respond to in-person inquiries and emails.
  • Receive deliveries for lab and office supplies; may include meeting delivery person at exterior door.
  • Facilitate mail delivery and drop off within the Foege building. Sort and distribute incoming mail by lab group.
  • Respond to requests for door unlocks for conference rooms and offices.
  • Respond to requests for minor building repairs and maintenance.
  • Follow department procedures to check out keys to approved personnel. Facilitate invoice process via UW MarketPlace.
  • Respond to ad hoc requests for administrative assistance that may involve data entry, web searches, email communication and meeting coordination.
  • Coordinate meetings and materials on behalf of Administrator and Assistant to the Chair.
  • Use Adobe docusign, email and OneDrive to facilitate quarterly grant and contract certification process.
  • Minimum one year experience working in an administrative or customer service role.
  • Candidate must be available Monday through Friday from noon to 4:00 PM during the academic year. Vacations should be scheduled during academic breaks.
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
  • Demonstrated proficiency in Microsoft (MS) Word, Excel, Outlook, and Zoom. Willingness to use MS Teams and OneDrive for communication and collaboration.
  • Demonstrated excellent interpersonal skills and ability to communicate effectively in speaking and writing.
  • Vaccination requirement: Effective October 18, 2021 all UW employees must demonstrate proof of vaccination as a condition of employment.
The Bioengineering variable rate is $3,128/month. This is a regular ASE appointment with GAIP and tuition benefits.
