Graduate Staff Assistant, School of Pharmacy

The Office of Professional Pharmacy Education is seeking a Graduate Staff Assistant (Link available to UW Seattle & UW Bothell students only) to provide operational support in the areas of student affairs and educational assessment. The position requires the ability to provide reliable, accurate, and consistent administrative support – using independent judgment when appropriate – with the overall goal of supporting students in the Doctor of Pharmacy (PharmD) program. One area of focus for the position will be supporting the reaccreditation process mandated by the Accreditation Council for Pharmacy Education (ACPE), and another important area will be supporting PharmD admissions.
Appointment Period | This is a 50% FTE position requiring a commitment of one academic year, from October 25 to June 15, 2022.
Eligibility | University of Washington graduate students enrolled full-time (minimum of 10 credits per quarter) throughout the appointment.
Position Responsibilities
·        Provide support to PharmD Admissions by assisting with application processing, monitoring uwpharmd@uw.edu inbox, and triaging questions to Director of Admissions
·        Assist with Admissions interview day preparation and support (autumn 2021 and winter 2022)
·        Gather data and produce reports, lists, and other documents containing student information, student photos, etc.
·        Monitor PharmD student listservs, approving or denying postings and updating memberships as needed
·        Greet, interact with, and provide information to current and prospective students, faculty, staff and the general public, serving as the initial contact for the PharmD program.
·        Assessment Committee support – with guidance from the Director of Assessment and Accreditation, support the annual Assessment retreat and Curriculum summit
·        Mock site visit support (winter 2022) and ACPE accreditation site visit (spring 2022) – assist with coordination of scheduling and travel arrangements
·        Support the process of finalizing ACPE self-study report in preparation for site visit (spring 2022)
·        Prepare assessment reports as requested Director of Assessment and Accreditation
·        Support for various events throughout the year in addition to PND (mentioned below) E.g., Welcome Week, Orientation, Welcome to the Profession Ceremony, Admissions interviews, Graduate Recognition Ceremony.
·        Other Duties as Needed
Requirements
·        UW graduate student enrolled full-time (minimum of 10 credits per quarter) as of Autumn 2021
·        Ability to work in a collaborative team setting but can also manage independent projects
·        Strong verbal, written, interpersonal communication, critical thinking, and problem-solving skills
·        Highly organized, analytical, motivated, detail-oriented, accurate, and efficient
·        Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Publisher, Word)
·        Ability to maintain confidentiality of sensitive information
·        Must have the ability to make independent judgment within a framework of established guidelines
·        Flexible and willing to perform other administrative duties as assigned (within the scope of general administrative duties)
·        Proficiency with Microsoft Word, Outlook, PowerPoint and Excel, as well as cloud-based tools (i.e., SharePoint, Google Docs, etc.)
Salary and Benefits | Compensation is at the GSA level for which the student is eligible. The remainder of Autumn quarter will follow Schedule 2 without tuition waiver or benefits, while Winter and Spring quarters will follow Schedule 1 with tuition waiver and benefits (see information here). The UW’s policy regarding graduate student service appointments is set forth in Executive Order 28 and this position is governed by a collective bargaining agreement between UW and UAW Local 4121.
